Almost every business we talk to has tried a CRM at some point. Most of them stopped using it within a month. That's not because CRMs don't work — it's because most CRM setups are copied from a generic template instead of built around how the business actually sells.
Before choosing pipeline stages like "Lead," "Contacted," "Negotiation," and "Closed," map out what actually happens between a stranger discovering your business and them paying you. For a real estate agent, that might include a site visit stage. For a clinic, it might include an intake form stage. A CRM only gets used when its stages match reality.
In Nigeria, that's usually WhatsApp — not email. If your CRM only syncs with email, your team will keep working out of WhatsApp separately, and the CRM will quietly become outdated. CRM setup done properly connects to WhatsApp so every conversation and lead status lives in one place, not two.
A CRM that only stores information is half a system. The other half is automation — reminders when a lead goes quiet, automatic messages when someone reaches a certain stage, and alerts when a deal has been sitting untouched for too long. This is where most manual sales processes actually break down, and where automation earns its keep.
CRMs get abandoned when the team sees them as extra admin work instead of something that makes their job easier. Training should show your team how the CRM saves them from manually chasing leads and remembering follow-ups — not just which buttons to click.
No CRM setup is perfect on day one. After a month of real use, review which stages are being skipped, which automations are actually helping, and which parts of the process still don't match how your team sells. A CRM should evolve with your business, not sit static after the initial setup.
A CRM setup is only successful if your team is still using it in three months, not just in the first excited week. That means building it around your actual sales process, connecting it to WhatsApp, automating the follow-up work, and treating the first month as a tuning period rather than a finished product.
